Privacy Policy, Guidelines & Rules for Parents.
At Newcastle FC, we are committed to creating a safe, professional, and respectful environment for all players, families, and staff. To ensure a positive experience for everyone, we kindly ask that parents and guardians follow the policies and guidelines outlined below.
Privacy & Confidentiality

All personal information collected during registration (such as names, addresses, and contact details) will be kept strictly confidential and used only for club-related communication.

Player photos, videos, and media may be used by Newcastle FC for promotional purposes (website, social media, marketing materials) unless parents provide written notice to opt out.

We will never share personal information with third parties outside of Newcastle FC without prior consent.
Parent Guidelines & Code of Conduct

Parents are not permitted on the field or training area during practices and games; only players and authorized coaching staff are allowed.

Parents must remain in designated spectator areas (seating areas, gym sidelines, or lounge areas).

All parents are expected to display respectful behavior toward coaches, referees, staff, players, and other families at all times.

Negative comments, aggressive behavior, or interference with training sessions will not be tolerated and may result in removal from the facility.
Safety & Facility Rules

Newcastle FC and the facility are not responsible for lost or stolen items; please keep personal belongings safe.

Parents must ensure safe drop-off and pick-up of their child. Gated parking is provided, but families are responsible for their child’s supervision outside of training hours.

For the safety of all players, no food, drinks (other than water), or pets are allowed on the training field or gym floors.

Parents are welcome to enjoy the ping pong lounge or spectator areas but must respect facility property and equipment at all times.
Health & Liability

All players must have current medical clearance to participate in physical activity. Newcastle FC is not liable for injuries sustained during training, games, or use of the facility.

First Aid and CPR–certified staff are on-site, but in the case of serious injury, emergency services will be contacted immediately.

Parents are required to disclose any relevant medical conditions or allergies during registration.

Participation in Newcastle FC programs is at the player’s own risk, and parents/guardians agree not to hold the academy, coaches, or facility liable for accidents, injuries, or unforeseen incidents.
Payments & Refunds

All payments must be made in person by cash or via e-transfer to the club’s official email address.

Registration is only confirmed once payment has been received in full.

Refund Policy: Fees are non-refundable once the season has started. Exceptions may be made for medical reasons with valid documentation, subject to Newcastle FC’s discretion.
Agreement
By registering your child with Newcastle FC, parents and guardians acknowledge that they have read, understood, and agreed to comply with the above Privacy Policy, Guidelines, and Rules. This agreement ensures a safe, positive, and professional environment for all players and families.
